Methods of processing
The Owner takes appropriate security measures to prevent unauthorized access, disclosure, modification, or unauthorized destruction of the Data.
The Data processing is carried out using computers and/or IT enabled tools, following organizational procedures and modes strictly related to the purposes indicated. In addition to the Owner, in some cases, the Data may be accessible to certain types of persons in charge, involved with the operation of this Application (administration, sales, marketing, legal, system administration) or external parties (such as third-party technical service providers, mail carriers, hosting providers, IT companies, communications agencies) appointed, if necessary, as Data Processors by the Owner. The updated list of these parties may be requested from the Owner at any time.

The Data is processed at the Owner's operating offices and in any other places where the parties involved in the processing are located.

Unless specified otherwise in this document, Personal Data shall be processed and stored for as long as required by the purpose they have been collected for and may be retained for longer due to applicable legal obligation or based on the Users’ consent.

Access to third-party accounts
This type of service allows this Application to access Data from your account on a third-party service and perform actions with it.
These services are not activated automatically, but require explicit authorization by the User.
Salesforce
Company: this Application
Salesforce is the CRM some distributors run. If a company connects its own Salesforce organization, RepOrbit reads the records a representative asks about, imports the facilities, providers and contacts the representative chooses, and logs a call back to Salesforce only when the representative approves it.
Personal Data processed: business contact records — names, roles, business contact details and activity history — and the content of call logs the representative approves, with identifiers, and names written straight after "patient" or "pt", scrubbed first.
Place of processing: United States.
The connection reads only, unless a representative explicitly approves a write.
Google Calendar
Company: this Application
Google Calendar sync runs only if a representative connects their Google calendar. RepOrbit requests read-only access and imports events for a rolling window around the current date, so the schedule appears in the app and Caddie can answer questions about the day.
Personal Data processed: event titles, times, locations and attendee information — or only the times the representative is busy, if busy-only mode is turned on.
Place of processing: United States.
This data is not used for advertising, is never sold, and is not used to train any general-purpose AI model. Disconnecting a calendar deletes the data held for that connection.
Microsoft Graph
Company: this Application
Microsoft Graph is how RepOrbit reads an Outlook or Microsoft 365 calendar, and only if a representative connects one. RepOrbit requests read-only access and imports events for a rolling window around the current date, so the schedule appears in the app and Caddie can answer questions about the day.
Personal Data processed: event titles, times, locations and attendee information — or only the times the representative is busy, if busy-only mode is turned on.
Place of processing: United States.
This data is not used for advertising, is never sold, and is not used to train any general-purpose AI model. Disconnecting a calendar deletes the data held for that connection.
Apple iCloud Calendar
Company: this Application
RepOrbit can read an Apple iCloud calendar if a representative connects one, using an app-specific password they create in their own Apple account. Events are imported for a rolling window around the current date, so the schedule appears in the app and Caddie can answer questions about the day.
Personal Data processed: event titles, times, locations and attendee information — or only the times the representative is busy, if busy-only mode is turned on. The app-specific password is stored encrypted and is used for nothing else.
Place of processing: United States.
This data is not used for advertising, is never sold, and is not used to train any general-purpose AI model. Disconnecting a calendar deletes the data held for that connection.
Contacting the User
Resend
Company: this Application
Resend is an email delivery service. RepOrbit uses it for transactional email only: the one-time code that signs you in, and the feedback you send through the in-app feedback form. It is not used for newsletters or promotional email.
Personal Data processed: email address; the one-time sign-in code; and, for feedback, your name, email address, device and browser details, and your message.
Place of processing: United States.
Push Services
Company: this Application
Apple, Google, Microsoft and Mozilla operate the push services that deliver RepOrbit notifications to a device or browser. They are used only if a representative turns notifications on.
Personal Data processed: the push subscription that identifies the representative's device or browser, and the contents of each notification sent.
Place of processing: the provider's own infrastructure.
Turning notifications off removes the subscription, and no further notifications are sent.
Hosting and backend infrastructure
This type of service has the purpose of hosting Data and files that enable this Application to run and be distributed or to provide a ready-made infrastructure to run specific features or parts of this Application.
Some services among those listed below, if any, may work through geographically distributed servers, making it difficult to determine the actual location where the Personal Data are stored.

Anthropic
Company: this Application
Anthropic provides the Claude AI models behind Caddie, RepOrbit's assistant. RepOrbit sends Anthropic the questions a representative asks and anything attached to them, together with the records needed to answer — notes, facilities and contacts, inventory, tasks, calendar entries and search results — plus Bill Only paperwork when it is filed, and the notes behind the short briefs on the Today, provider and facility screens.
Personal Data processed: the content of questions and attachments, and the representative's own records used to answer them.
Place of processing: United States.
Under Anthropic's commercial terms this content is not used to train their models. Anthropic retains API content for up to 30 days, with limited exceptions such as complying with law.
This service uses artificial intelligence. Responses provided by Anthropic are generated, fully or in part, by an automated system and not by a human operator.
This service uses artificial intelligence to generate content. Material produced by Anthropic (including images, audio, videos, and text) is created, fully or in part, by automated systems.
Voyage AI
Company: this Application
Voyage AI turns text into the numerical embeddings that power search inside RepOrbit. Text is sent to Voyage when a note or document is indexed, and each time a representative asks Caddie a question.
Personal Data processed: the text of notes, documents and questions.
Place of processing: United States.
RepOrbit's account is opted out of data retention and model training, so Voyage stores nothing after processing and does not train on this content.
This service uses artificial intelligence. Certain features of Voyage AI are powered by automated systems that process your data to personalise or improve your experience.
Google Gemini
Company: this Application
Google's Gemini API transcribes videos added to a RepOrbit content library so their contents can be found in search. It runs only when a video is uploaded.
Personal Data processed: the video file, including anything spoken or shown in it.
Place of processing: United States.
RepOrbit uses Gemini on a Google Cloud billing account, so Google's terms for billed use apply: this content is not used to improve Google's products, and is logged only briefly to detect abuse.
This service uses artificial intelligence to generate content. Material produced by Google Gemini (including images, audio, videos, and text) is created, fully or in part, by automated systems.
Registration and authentication
By registering or authenticating, Users allow this Application to identify them and give them access to dedicated services.
Depending on what is described below, third parties may provide registration and authentication services. In this case, this Application will be able to access some Data, stored by these third-party services, for registration or identification purposes.
Some of the services listed below may also collect Personal Data for targeting and profiling purposes; to find out more, please refer to the description of each service.

Further information about the processing of Personal Data
Information about people who are not users
Some of the information in the Service is about people who do not use it — for example a surgeon whose implant preferences a representative records in their own working notes.
The representative decides what is recorded. We do not collect this information ourselves, we do not buy it, we do not build profiles from it, and we do not use it to market to the people it describes. We hold it on the representative's behalf, use it only to provide the Service to that representative and their team, and delete it when they delete it or when their account closes.
If you believe a representative has recorded information about you in the Service and you want to see, correct, or delete it, contact us at [address]. We will pass your request to the representative who recorded it and, where required by law or where we consider it appropriate, act on it ourselves.
Calendar connections (Google and Microsoft)
If you connect a Google or Microsoft calendar, we request read-only access and use it for one purpose: showing your schedule inside the Service and giving the AI assistant the context to answer questions about your day.
What we access. Event titles, times, locations, and attendee information from the calendars you choose to connect, for a rolling window around the current date. If you turn on busy-only mode, we store only the times you are busy and not the content of your events.
What we do with it. We display it to you. We use it to answer your own questions inside the Service. We store it so the Service works when the calendar provider is unreachable, and we refresh it periodically.
What we do not do with it. We do not use it for advertising. We do not sell it, license it, or share it with any third party for their own purposes. No human at Loop Nine reads it except with your explicit permission, to investigate a security incident or abuse, to comply with law, or where the data has been aggregated and anonymised. We do not use it to train any general-purpose AI model.
AI processing. Where the assistant needs calendar context to answer you, that context is sent to our AI provider to generate your answer. It is not used by that provider to train its models.
Your control. Disconnect a calendar at any time in Settings. On disconnection we delete the calendar data we hold for that connection. You may also revoke access directly through your Google Account permissions or your Microsoft account settings.
Google: our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Cookie Policy
This Application uses Trackers. To learn more, Users may consult the Cookie Policy.
Further Information for Users in the European Union
Legal basis of processing
The Owner may process Personal Data relating to Users if one of the following applies:
- Users have given their consent for one or more specific purposes.
- provision of Data is necessary for the performance of an agreement with the User and/or for any pre-contractual obligations thereof;
- processing is necessary for compliance with a legal obligation to which the Owner is subject;
- processing is related to a task that is carried out in the public interest or in the exercise of official authority vested in the Owner;
- processing is necessary for the purposes of the legitimate interests pursued by the Owner or by a third party.
Further information about retention time
Unless specified otherwise in this document, Personal Data shall be processed and stored for as long as required by the purpose they have been collected for and may be retained for longer due to applicable legal obligation or based on the Users’ consent.
Therefore:
- Personal Data collected for purposes related to the performance of a contract between the Owner and the User shall be retained until such contract has been fully performed.
- Personal Data collected for the purposes of the Owner’s legitimate interests shall be retained as long as needed to fulfill such purposes. Users may find specific information regarding the legitimate interests pursued by the Owner within the relevant sections of this document or by contacting the Owner.
The Owner may be allowed to retain Personal Data for a longer period whenever the User has given consent to such processing, as long as such consent is not withdrawn. Furthermore, the Owner may be obliged to retain Personal Data for a longer period whenever required to fulfil a legal obligation or upon order of an authority.
Once the retention period expires, Personal Data shall be deleted. Therefore, the right of access, the right to erasure, the right to rectification and the right to data portability cannot be enforced after expiration of the retention period.
The rights of Users based on the General Data Protection Regulation (GDPR)
Users may exercise certain rights regarding their Data processed by the Owner.
In particular, Users have the right to do the following, to the extent permitted by law:
- Withdraw their consent at any time. Users have the right to withdraw consent where they have previously given their consent to the processing of their Personal Data.
- Object to processing of their Data. Users have the right to object to the processing of their Data if the processing is carried out on a legal basis other than consent.
- Access their Data. Users have the right to learn if Data is being processed by the Owner, obtain disclosure regarding certain aspects of the processing and obtain a copy of the Data undergoing processing.
- Verify and seek rectification. Users have the right to verify the accuracy of their Data and ask for it to be updated or corrected.
- Restrict the processing of their Data. Users have the right to restrict the processing of their Data. In this case, the Owner will not process their Data for any purpose other than storing it.
- Have their Personal Data deleted or otherwise removed. Users have the right to obtain the erasure of their Data from the Owner.
- Receive their Data and have it transferred to another controller. Users have the right to receive their Data in a structured, commonly used and machine readable format and, if technically feasible, to have it transmitted to another controller without any hindrance.
- Lodge a complaint. Users have the right to bring a claim before their competent data protection authority.
Users are also entitled to learn about the legal basis for Data transfers abroad including to any international organization governed by public international law or set up by two or more countries, such as the UN, and about the security measures taken by the Owner to safeguard their Data.

Where Personal Data is processed for a public interest, in the exercise of an official authority vested in the Owner or for the purposes of the legitimate interests pursued by the Owner, Users may object to such processing by providing a ground related to their particular situation to justify the objection.
Users must know that, however, should their Personal Data be processed for direct marketing purposes, they can object to that processing at any time, free of charge and without providing any justification. Where the User objects to processing for direct marketing purposes, the Personal Data will no longer be processed for such purposes. To learn whether the Owner is processing Personal Data for direct marketing purposes, Users may refer to the relevant sections of this document.
How to exercise these rights
Any requests to exercise User rights can be directed to the Owner through the contact details provided in this document. Such requests are free of charge and will be answered by the Owner as early as possible and always within one month, providing Users with the information required by law. Any rectification or erasure of Personal Data or restriction of processing will be communicated by the Owner to each recipient, if any, to whom the Personal Data has been disclosed unless this proves impossible or involves disproportionate effort. At the Users’ request, the Owner will inform them about those recipients.

The User's Personal Data may be used for legal purposes by the Owner in Court or in the stages leading to possible legal action arising from improper use of this Application or the related Services.
The User declares to be aware that the Owner may be required to reveal personal data upon request of public authorities.

User
The individual using this Application who, unless otherwise specified, coincides with the Data Subject.
